Email Template Design Process

The process for commissioning Email Template designs is as follows...

1. A Service Agreement for your requested template design will be emailed to you by your dotMailer Account Manager.

2. Once we have received a signed copy of the Service Agreement (which can be sent via fax), our team will begin work on your template at the next available opportunity*.

In order for us to begin work on your template design, we require the following:

  • A detailed email template design brief
  • Example templates
  • Branding guidelines and corporate colours
  • Images, logos and graphics in high resolution format (JPG, EPS, PSD)
  • Sample copy or an approximate character count
  • Company contact details including company registration number and registered address (required by law for all external emails)

3. We will then produce a visual (image) of your email template design which we will email to you for approval.

4. Once we have made any requested amendments to the template, you will then be sent the revised visual.

5. When we have received approval for the template design, we will slice the template and save it as an HTML file.

6. We will then upload your HTML template into your dotMailer account and test that it renders correctly in a selection of email clients, such as Outlook 2007, Windows Live and Yahoo.

7. Once we are satisfied that your template renders as it should in the different email clients (we often have to tweak the HTML code to ensure this), we will save the finished design in your Template Library.

8. You will be notified when the finished template is saved in your dotMailer account and ready for you to edit and use.

Your finished Email Template

To access your template in your Template Library, select New Campaign > Copy a template > Select from library. We recommend that you choose to the ‘Use Template’ option, rather than ‘Modify Template’ which will change the original template design.

Once you have edited your template and inserted weblinks, we recommend that you Test Send your campaign in a selection of different email clients to ensure that you are happy with it.

*Please note that there is a two week lead time for all template designs and this is partly reliant on the speedy sign off of visuals by the client. We will endeavour to deliver your finished design to you as quickly as possible.
